Support customer and community relations by supporting the coordination of visits to the headquarters and provide administrative support to the Communications and HCI team. Attendance at meeting functions as required.
• Coordinate customer and community tours and facilitate visits
• Manage administrative and organizational responsibilities for the HCI directors with limited supervision, relying on own initiative and independent action
• Manage domestic and international travel arrangements, process expense reports
• Manage Outlook calendar, meeting schedules and appointments.
• Plan and organize meetings and special events.
• Foster a sense of teamwork with other administrative assistants and team members.
• Prepare well-designed, accurate documents, reports and presentations using Microsoft Word, Excel and PowerPoint (Intermediate to Expert Level).
• Handle routine daily tasks such as telephone and e-mail communications, filing, sorting mail, etc. in a timely manner
• Professional manner, superior organizational skills, excellent verbal and written communications are required in this position.
• Draft, review and proof read internal and external communication
• Support employee relations acitivies and all other assigned duties
• Manage database and provide password information for secure company sponsored websites.
Qualifications:
• Minimum 3 years experience working for a director or management team is required. Must be extremely proficient in all Microsoft applications and possess excellent communication and organizational skills. Must also possess a high level of attention to details and follow-up skills.
• Background in Marketing, Public Relations or Communications helpful.
• Excellent customer service and interpersonal skills a must
• Public speaking experience a real plus
• Meeting planning expereince desirable.
